📋 Caregiver Sees It in Staff Portal:
• When the caregiver logs into the Staff Portal and taps the 📋 Care Plan tab — the plan for their assigned client appears automatically
• It matches by the client's name from today's schedule — name must match exactly
• Caregiver can also print the plan directly from the Staff Portal

📍 Geofence Manager — Complete Operating Instructions
• Caregivers do not need a separate password — it works automatically when they log into the Staff Portal
• You control it entirely from the Geofence Manager in the Outreach Hub
• Each client has their own geofence — set it once, and it enforces every shift automatically
Step 2 — Sidebar → Client Management → 📍 Geofence Manager
Step 3 — Click ➕ Add Client Location and fill in:
• Client Name — must match the schedule exactly (spelling, spacing, punctuation)
• Full Street Address — include street number, city, state, and ZIP
Step 4 — Click 🔍 Auto-Lookup GPS Coordinates — latitude and longitude fill in automatically
Step 5 — Click the Verify on Google Maps link — confirm the pin lands on the correct house
Step 6 — Choose a Geofence Radius:
• 50m — very strict, inside home only
• 100m — standard ✅ recommended (covers home + driveway)
• 200m — relaxed, includes nearby street
• 500m — wide, half a block radius
Step 7 — Click 💾 Save Client Location
✅ Done — the geofence activates immediately in the Staff Portal. No app update or caregiver action needed.
1. Open maps.google.com ↗ on your computer
2. Search the client's full address
3. Right-click directly on the location pin on the map
4. A small pop-up appears at the top showing coordinates — example: 42.3123, -71.0845
5. Click those numbers — they copy to your clipboard
6. Paste the first number into Latitude, second into Longitude
7. Click 💾 Save Client Location
Step 2 — The 🕐 Clock In/Out tab loads — it shows the client name and address for today's visit
Step 3 — Phone prompts: "Allow location access?" — caregiver must tap Allow
Step 4 — A badge shows their GPS status:
• 🔵 Finding your location… — GPS is loading (takes 5–15 seconds)
• 🔴 Outside geofence — not at the client's address yet, button stays locked
• 🟢 Inside geofence — at the correct address, Clock In button unlocks
Step 5 — Once badge turns 🟢 green, caregiver taps Clock In to start the visit
Step 6 — At the end of the visit, caregiver taps Clock Out — hours are saved automatically
📌 If the badge won't turn green: Have them step outside and wait 15 seconds for GPS to lock. If still not working, check that Location is set to "Always" or "While Using" for their browser in phone Settings.
1. Add yourself as a test client in Geofence Manager — use your home address
2. Name it "Test Client" and make sure it matches a shift in the schedule
3. When you get home, open the Staff Portal on your phone
4. Log in → watch the badge — it should turn 🟢 green within 15 seconds
5. Clock In → confirm it works → Clock Out
6. Delete the test entry from Geofence Manager when done
💡 Tip: Test on the same phone model your caregivers use — GPS accuracy varies by device.
View on map: Click 🗺️ Map to open Google Maps and see the exact pin location
Delete a client: Click 🗑 — caregiver can then clock in from anywhere for that client
Status badges:
• ✅ Active — coordinates saved, geofence is live
• ⚠️ No Coords — name and address saved but coordinates missing — clock-in not enforced
📌 Important — Name must match exactly: The client name in Geofence Manager must be spelled exactly the same as in the schedule. "Vicky Huell" and "vicky huell" will not match. Double-check spelling before saving.
🕐 Clock In/Out & Payroll System — Confirmed Live ✅
• /clock-event (POST) — records every clock in/out with timestamp & GPS ✅
• /list-clock (GET) — returns all clock records for payroll review ✅
📍 GPS is captured at every clock event — latitude, longitude, timestamp, caregiver name, and client name are all saved to the database automatically.
Step 2 — Taps 🕐 Clock In/Out tab — today's client and address load automatically
Step 3 — Phone checks GPS (must be inside the geofence if one is set for that client)
Step 4 — Caregiver taps Clock In — the system records:
• Caregiver name & ID · Client name · Action (in/out) · Timestamp · GPS lat/lng
Step 5 — Record is saved to Cloudflare D1 database (permanent cloud storage)
Step 6 — At end of visit, caregiver taps Clock Out — same data recorded
Step 7 — You open Admin Portal → 💰 Payroll → click 📥 Import from GPS Clock Records
Step 8 — Hours are auto-calculated and payroll record is created

Step 3 — Click 📥 Import from GPS Clock Records — all clock in/out pairs load automatically
Step 4 — Review the hours per caregiver — clock in and clock out times are shown
Step 5 — Make any corrections if needed (missed punch, equipment issue)
Step 6 — Click ⬇ Export CSV — take to your accountant or upload to payroll software
📌 Payroll period tip: Run this every Friday or bi-weekly. Export and save to a Google Drive folder labeled by pay period (e.g., "Payroll 2026-06-01 to 06-14").
Client name in clock records: If a shift doesn't have a client name assigned in the schedule, the clock record may show a placeholder character instead of a real name. This doesn't affect hours calculation — caregiver name and timestamps are still accurate.
GPS proof of attendance: Each clock record includes GPS coordinates. This gives you location verification for every visit — useful if hours are ever disputed.
Private Pay only: Ocean Code does not bill Medicare, Medicaid, or insurance. All payroll is for private-pay clients. Do not submit clock records to any insurance or government billing system.

If you need to revoke access — go to Settings and change the Staff PIN. The old PIN stops working immediately.

🔔 Phone Reminders
Get a notification on this device when tasks or deadlines are coming up (a weekly Monday check-in, plus you can send a test now). Works best after you add the HUB to your home screen.
🔒 Auto-Lock
For privacy if your phone is lost or left unattended, the HUB signs you out after a period of inactivity, so your password is needed again. Your phone's own Face ID / passcode is still your first line of defense.

Set a new private password for your CEO Hub. You will need to log in again on all devices after changing it.
